What Should Be Included in an HVAC Proposal?

Make the decision based on the complete system

A clear proposal reduces disputes because both homeowner and contractor know what is being purchased and what work is included.

The proposal should identify the major equipment and enough installation detail to distinguish the project from a simple equipment price.

Items that are unknown before work begins should be identified as allowances, options or potential additional work rather than left unstated.

Buying Factors

What deserves attention

Equipment identification

List manufacturer and model numbers for the major indoor and outdoor components.

Removal and disposal

State whether existing equipment and debris removal are included.

Mechanical scope

Describe sheet-metal transitions, line-set work, venting, gas piping and equipment supports as applicable.

Electrical and controls

Identify disconnects, breakers or wiring work, thermostat/control equipment and responsibility for upgrades.

Drainage

Describe condensate drain, trap, pump or safety-switch work where applicable.

Permits and warranty

Identify permit responsibility, startup/commissioning, manufacturer coverage and contractor labor warranty.

Installation Matters

The equipment label is only part of the purchase

Correct sizing, component matching, airflow, refrigerant setup, electrical work, drainage, controls and duct-system condition all affect how new equipment performs after installation.

A higher-efficiency unit installed into a poor air-distribution system can still deliver poor comfort and disappointing real-world performance.

Compare Proposals

Compare scope—not just the bottom-line price

Two proposals can use similar equipment while including very different labor, accessories, warranties, duct modifications, electrical work, permits and commissioning procedures.

Ask contractors to identify exactly what is included, excluded and assumed.
